Senior Compliance Officer


The Orbitus Group is a local owner managed fiduciary and fund administration business, based in an out of town office in St. Sampson.
We are seeking a full time Senior Compliance Officer / Manager with relevant experience in the fiduciary and fund sectors, who will be willing to work in a small, open plan office with a family atmosphere.
Ideally we seek a person with a minimum of 5 years’ appropriate experience working in compliance in the offshore fiduciary and fund businesses and should be ICA Diploma qualified or in the process of, or willing to study for the qualification.
All necessary training and support will be provided. Prerequisites for this key role include an ability to work on one’s own initiative without supervision, attention to detail and the ability to manage and prioritise the day to day workload.
A good understanding of fiduciary structures, dealing with trusts, companies and limited partnerships, and fund structures, including closed ended and open-ended funds, is a requirement. An excellent understanding of Microsoft365 including Outlook, Word, Excel & Teams. Experience with Hyperion, Riskscreen, digital onboarding (DigiHub & Verify), GFSC submissions, and Acumen as the client data system and M-Files as the document management system would be advantageous but not a requirement as full training will be provided.

Purpose of role
To provide day to day support to the Head of Governance, Risk & Compliance, contributing towards the development and enhancement of the compliance function. This will involve assisting in undertaking work in monitoring and reporting on matters relating to compliance, internal risk, regulations, legislation and control as well as working on the Compliance Monitoring Programme (“CMP”).
Working with both the Fiduciary and Funds Team to facilitate the day to day compliance of the operating entities and their clients with all relevant rules and regulations.
To manage the Compliance Team with their day to day work. To deputise for the Compliance Officer (“CO”) & Money Laundering Compliance Officer (“MLCO”) during their absence and act as Nominated Officer.
To coordinate and oversee annual training to all staff and the Board in relation to Money Laundering (“ML”), the Financing of Terrorism (“FT”) and Proliferation Financing (“PF”), as well as data protection & data security.
Reporting to the Head of Governance, Risk & Compliance.
Main duties and responsibilities
- Oversight and where necessary assistance with the completion of CMP for the licensee businesses & Client Entities utilising Hyperion.
- Coordinating and processing onboarding of new contacts including review of CDD, background checks, prep of CDD checklists, filing of CDD utilising DigiHub, Verify & Riskscreen.
- Review & sign off of onboarding of new Client Entities as DCO / DMLCO.
- Processing of FATCA/CRS Forms, including verification of TINs/GIINs.
- Processing & ongoing monitoring of GFSC Form PQ’s for employees and relevant Clients.
- Managing daily Riskscreen screening.
- Undertake Riskscreen system reliability testing.
- Deal with any intermediary / introducer testing of the licensee businesses by bank and other service providers.
- Compliance project work (ad hoc).
- Monitoring internal group email inboxes as well as any client specific group email inboxes and profiling relevant email / undertaking required workflow.
- Coordinate and oversee annual training to all staff on ML, FT & PF
- Review of GFSC website & Submission Portal (in absence of MLCO).
- Review of Themis updates and circulation where applicable (in absence of MLRO).
- As Nominated Officer:
- To act in place of the MLRO during their absence.
- To receive internal Suspicious Activity Reports (“SAR’s”), acknowledge receipt, investigate and, where appropriate externalise to the Financial Intelligence Unit (“FIU”), ensuring that the SAR register is kept up to date, there is recorded evidence of decisions made and, where a SAR has been externalised appropriate action has been taken to ensure that funds cannot be released from the account without having sought consent from the FIU.
- To monitor the FIU system THEMIS to ensure that communications e.g. Financial Alerts are reviewed and actioned where necessary.
- To provide accurate and timely MI to the Board including quarterly Board reports.
- As Data Protection Officer:
- To oversee compliance by the operating entities and client entities as required with the Data Protection Law and the operating entities Data Protection Policy and procedures.
- To receive reports and deal with any personal data protection breaches.
- To receive and deal with any Data Subject Access Requests (“DSAR”).
- Update and maintain the data breaches register.
- Coordinate and oversee annual training to all staff on data protection & data security.
Package
A very competitive remuneration and full benefits package is available to the successful candidate based on the level of qualifications and experience. Annual holiday entitlement is 25 days. Other benefits include a bonus scheme based on a share in the business’s profit, pension, private health insurance, life insurance and employee income protection insurance.
Our standard working week is 37 hours starting at 9am and finishing at 5.30pm Monday to Thursday and 5pm on a Friday, although the start and finishing times can be flexible if required.
